Position Description Match Specialis

Position: Match Support Specialist
Department: Big Brothers Big Sisters of Central Oregon
Reports to: Program Director

Position Summary

This position is responsible for providing match support to ensure child safety, positive impacts for youth, constructive and satisfying relationships between children and volunteers, and a strong sense of affiliation with BBBS on the part of volunteers. The Match Support Specialist will produce positive outcomes in on time match support contact, match support in general, match yield rate, match closure rate, average match length, volunteer rematch rate and customer satisfaction.

This position is a full-time, 32-40 hours per week position with variable shifts including days, evenings and weekends.

 

Duties

- Through scheduled in-person, telephone and electronic contact, determine child safety, match relationship development, positive youth development and volunteer satisfaction are fulfilled
-  Identify and address potential problems and barriers
-  Involve Program Director in any child safety concerns or reporting to DHS
-  Document and monitor all elements of match support and supervision
-  Assess individual training needs, information and support needs for each match participant to assure a positive youth development experience for the child
-  Assess individual training needs, information and support needs for each match participant to assure a, and successful and satisfying experience for the volunteer
-  Apply child safety and risk management knowledge, policies and procedures throughout all aspects of job function
-  Develop strategic interventions to identify and strengthen match relationships that require extra support for positive development and growth
-  Develop, market and present match activities that offer volunteers and children a variety of opportunities for group interaction, agency affiliation and support ongoing volunteer involvement
-  Establish, monitor and meet goals for match length and customer satisfaction
-  Utilize database with YOS and SOR to assess match impact on youth development
-  Conduct exit interview by phone with all parties at match closure and assess reasons for match closure and re-match potential
-  Share with Enrollment and Match Specialist and Program Director potential partnership relationships discovered (donors, match activities)
-  Identify and promote re-engagement of volunteers as Bigs, board members, donors and in other volunteer capacities
-  Provide timely and comprehensive written summaries of all contacts
-  Timely enter information into BBBS database
-  Other duties as requested by Program Director

 

Qualifications

Knowledge, Skills and Ability: Ability to form and sustain appropriate youth and adult volunteer-based relationships based on positive youth development and volunteer satisfaction. Effectively assess and execute guiding, supporting, confronting, advising and/or negotiating relational support skills. Relate well in multicultural environments. Ability to effectively collaborate with other service delivery staff, use time effectively and focus on details. Ability to collect meaningful data, input into MATCHFORCE effectively and use as appropriate. Demonstrate strong written, verbal and interpersonal communication skills. Ability to work independently and cooperatively as a team.

Experience and Training: Bachelor’s degree in social services, human resources or related field preferred but not required. Experience working with both youth and adult populations with specific assessment, intake or interview experience preferred. Proficiency in Microsoft Office; including Word, Outlook, Excel and Access. Valid Oregon driver license and CPR/1st Aid certification required.

Physical Requirements: This is primarily a sedentary position. The employee frequently is required to use hands or finger, handle, or feel objects, tools or controls. The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus. While performing the duties of this position, the employee is regularly required to talk or hear. The noise level in the work environment is usually moderate.

Bilingual Spanish/English Preferred: Ability to effectively communicate in both written and spoken Spanish.
